Kiosk Time Clock App Overview

What the Teamsly Time Clock kiosk app does, what you need to use it, and how it compares to the mobile app and the web Shared Time Clock

The Teamsly Time Clock app turns an iPad or Android tablet into a shared time clock for your location. Employees walk up, enter their 4-digit PIN, and clock in, take breaks, add job codes and notes, and clock out — all from one device, without needing their own phone. Managers can use the same tablet to clock the team in and out on their behalf.

This article explains what the kiosk does, what you need to get started, and how it compares to the other ways your team can clock in.

What You Need

  • A tablet — An iPad or an Android tablet. The kiosk runs in landscape mode and isn't available on iPhone.

  • The Teamsly Time Clock app — This is a separate app from the regular Teamsly app. Download it from the App Store or Google Play.

  • An internet connection — The kiosk needs Wi-Fi or a data connection to record punches. It doesn't save clock-ins offline.

  • Someone who can set up kiosks — The Account Owner, anyone with the Admin access level, or anyone whose access level allows "Who can set up and manage time clocks and kiosks?" See Setting Up Permissions and Access Levels.

  • Employees with a Login PIN — Every employee gets a 4-digit PIN automatically when they're added, and they must be assigned to the kiosk's location.

How the Kiosk Works

  • One kiosk per tablet — Each tablet is connected to a named kiosk (for example, Front Desk) at one of your locations. Only employees assigned to that location can use it.

  • PIN sign-in — Employees sign in with their 4-digit PIN, or with their email and password. Phone number sign-in isn't available on the kiosk.

  • Personal screen — After signing in, each employee sees their own shifts for today and can clock in, take a break, add a job code or note, and clock out.

  • Automatic lock — The kiosk returns to the PIN screen after 60 seconds without a tap, or right away when someone taps Lock kiosk.

  • Manager tools — When someone with an access level other than Employee (Manager, Admin, or Account Owner) signs in, they get a manager screen where they can clock the team in and out, manage the kiosk, or end the kiosk session.

Settings the Kiosk Follows

The kiosk uses the same time clock rules you've already set up in Teamsly, so there's nothing extra to configure:

  • Unscheduled shift clock-in — Whether employees can clock in without a scheduled shift

  • Prevent early clock-ins — How many minutes before their shift employees can clock in (see Schedule Enforcements)

  • Breaks — Paid and unpaid breaks, requiring the full break before clocking back in, and the missed break follow-up at clock-out (see How to Set Up Breaks)

  • Job codes — Whether job codes are turned on and required when clocking in

  • Tip declaration — Whether employees declare tips when they clock out

🔄 The kiosk loads your settings when the app opens. After changing any of these settings, close and reopen the Teamsly Time Clock app on the tablet so it picks up the change right away.

Kiosk vs. Other Ways to Clock In

  • Kiosk (Teamsly Time Clock app) — A dedicated tablet at your location. Best when employees don't use their own phones at work, or when you want one fixed place to clock in. Includes manager tools and an automatic lock.

  • Shared Time Clock (web) — Opens in a browser tab on any computer. Employees sign in with a PIN or email and password. There are no manager tools, and the browser that launched it stays signed in to your account. See Web Time Clock.

  • Mobile app — Employees clock in on their own phone with GPS location. See Mobile Time Clock.

📍 The kiosk doesn't capture GPS location or photos. Because the tablet stays at your location, geo-fencing and live location tracking don't apply to kiosk clock-ins.

Where Kiosk Punches Show Up

Clock-ins, breaks, job codes, notes, and clock-outs from the kiosk appear on employees' timecards and in Timesheets exactly like punches from the mobile app or web, so you can review, edit, and export them the same way.
