Using the Real-Time Task Dashboard

How the real-time Task Dashboard shows today's task progress live, what each card and status means, and how to filter by department or role

The Task Dashboard is a live, at-a-glance view of today's tasks for your location. As employees check off tasks in the mobile app, the dashboard updates on its own — no refreshing needed. Put it up on a back-office screen or keep it open in a browser tab to see exactly where your team stands at any moment.

Getting There

Click Reports in the left navigation, then select Task Dashboard under Task Reports. The dashboard shows today's tasks for the location selected at the top of the page — switch locations there to see another location's board.

🔒 The Task Dashboard is in Reports, so you'll need the "Who can view company reports?" permission to see it. See Setting Up Permissions and Access Levels.

It Updates in Real Time

  • Instant updates — The moment an employee completes or updates a task, the dashboard refreshes to show it. If several tasks are checked off at once, they all show up together a second later.

  • Statuses change on their own — When a task's due time passes without being completed, it automatically switches from Pending to Overdue.

  • Rolls over at midnight — At midnight the dashboard automatically switches to the new day's tasks.

  • Never blanks out — Background updates happen quietly without a loading screen, so it works well on an unattended TV or monitor.

📺 Tip: Open the Task Dashboard in a browser on a TV or monitor in your back office or kitchen, and set it to full screen. Your team can see what's done and what's still open throughout the shift.

The Summary Cards

Two cards at the top summarize today's progress:

Tasks

A progress ring showing the percentage of today's tasks that are complete, with the number Completed and the number Assigned.

Stats

  • Total — All tasks on today's board

  • Completed — Tasks that have been checked off

  • Late — Tasks that were completed, but after their due time

  • Overdue — Tasks that are past their due time and still not done

Both cards update with the filter you choose, so you can see progress for just one department or role.

The Task Table

Below the cards, every task for today is listed with:

  • Task — The task name. Tasks that started yesterday and run past midnight show an Overnight badge.

  • List — The task list it belongs to (for example, Opening Checklist), or a dash for standalone tasks

  • Assigned To — Everyone, a department, a role, or a specific employee

  • Due — The time the task is due

  • Status — Completed, Pending (not due yet), Overdue (past due and not done), or Skipped

  • Completed By and Completed At — Who checked it off and when

Click any task to open a detail panel with its status (including Late or Overdue badges), assignee, time window, task list, and any notes and photos the employee submitted. The panel keeps updating live while it's open.

Filtering by Department or Role

To focus on one team:

  1. Click the filter icon in the top right of the dashboard.

  2. Choose a Department (for example, Front of House) or a Role (for example, Line Cook).

The page title changes to show your filter — for example, Task Dashboard — Front of House — and the summary cards and task table update to match.

How filtering works:

  • One filter at a time — Picking a department clears any role filter, and picking a role clears any department filter.

  • Department filters include their roles — Filtering by a department shows tasks assigned to that department and to any role inside it.

  • "Everyone" tasks always show — Tasks assigned to everyone stay on the board no matter which filter you choose.

  • Tasks assigned to one person are hidden — Tasks assigned directly to a specific employee only appear when no filter is applied.

To go back to all tasks, click Clear in the filter panel or the clear filter icon next to it. Filters reset when you reload the page.

💡 Running several screens? Open the dashboard on each one with a different filter — for example, one for Front of House and one for Back of House — so every team can see their own progress.

Task Dashboard vs. Task History

  • Task Dashboard — Today only, updates live, and can be filtered by department or role. Best for watching progress during the day.

  • History (in the Task Manager) — Any past day, one day at a time. Best for reviewing what happened after the fact. See Viewing Task History and Completion Reports.

If there are no tasks for today (or none that match your filter), the table shows No tasks assigned for today.
