How to assign tasks to everyone, a department, a role, or a specific employee in Teamsly

Every task in Teamsly can be assigned to a specific audience — from your entire team to a single employee. Getting the assignment right means the right person sees the task on their Home screen and knows they're responsible for completing it.

Getting There

The assignment is set when you create or edit a task. Open the Task Manager from the left navigation, go to the Manage tab, and click Add Single Task or Edit on an existing task list to access the Assign to field.

Assignment Options

The Assign to dropdown has four options:

  • Everyone — The task is assigned to all employees. Every team member will see it on their Home screen.

  • Department — The task is assigned to all employees in a specific department. A second dropdown appears to choose the department.

  • Role — The task is assigned to all employees who hold a specific role. A second dropdown appears to choose the role.

  • Employee — The task is assigned to one specific named employee. A second dropdown appears to choose the person.

Assignments on Task Lists

Inside a task list, each individual task can have a different assignment. This is what makes task lists powerful — you can have one Opening Checklist where each task is routed to the right role automatically. The assignment for each task is shown as a colored tag next to the task in the Manage tab.

💡 When a task is assigned to a Role or Department, every employee who holds that role or belongs to that department will see the task. The first person to complete it checks it off — it doesn't need to be completed individually by every person in that role.

How Assignments Appear to Employees

When an employee opens a task on mobile, the Details section shows the Assignment field — either their role, department, "Everyone," or their specific name.
