Not everyone on your team needs access to everything. The Permissions page lets you decide exactly what your Admins and Managers can do — from building schedules to viewing wages to changing company settings. Turn a permission off and the related buttons, pages, and navigation items disappear for that access level.
The Account Owner always has full access and cannot be restricted.
Getting There
Click the gear icon at the bottom of the left navigation to open Settings, then select Permissions.
You'll see a table with one row for each permission and one column for each access level: Owner, Admin, and Manager. Check or uncheck the boxes to grant or remove access, then click Save in the top right.
💡 The column headers show how many people currently hold each access level — for example, "Admin · 3 people." Use this to see at a glance who your changes will affect.
The Access Levels
Owner — The account owner. Always has full access to everything. The Owner column is locked and cannot be edited.
Admin — Typically your senior leadership or operations team. Fully configurable.
Manager — Typically shift leads and department managers. Fully configurable.
Employee — Standard team member access. Employees don't appear on the Permissions page — they only ever see their own schedule, timecards, requests, and assigned work.
Renaming Admin and Manager
The Admin and Manager labels can be renamed to match the language your business already uses — Supervisor, Shift Lead, General Manager, Assistant Manager, or anything else.
Click the pencil icon next to Admin or Manager in the column header.
Enter the new name in the Rename access level dialog.
Click Save.
📋 Renaming only changes the label. What the access level can do stays exactly the same, and everyone currently assigned to it keeps their existing permissions.
Assigning an Access Level to an Employee
You can set an employee's access level in two places:
On an existing employee
Open the Employees tab from the left navigation.
Click the employee's name to open their profile.
On the Overview tab, find the Access level dropdown at the bottom.
Choose Employee, Admin, or Manager and save.
When adding a new employee
The same Access level dropdown appears in the Add Employee form, so you can set it as you create the person rather than going back afterward.
The employee's current access level is also shown in the Access level column of the main employee list, so you can scan your whole team at once.
💡 Changes to an access level apply to everyone assigned to it. If you need one person to have different access from the rest of their group, move them to the other access level instead.
⚠️ If someone is logged in when you change their permissions, they'll need to refresh the page before the change takes effect for them.
What Each Permission Controls
Here's exactly what happens when each permission is turned off for an access level. In most cases the relevant pages stay visible in read-only form so people can still see information — they just can't change it.
Who can create, publish, and manage schedules?
The Create Schedule button is removed from the Schedule page.
Shifts can no longer be added or edited. Clicking an empty day on the scheduler shows a message explaining they don't have permission.
The AutoFill Open Shifts, Tools, and Publish Draft buttons are hidden.
Shift Types, Staffing Needs, and Schedule Templates remain viewable, but all create, edit, and delete controls are removed.
Create Shift Alert and Shift Alerts are removed from the navigation.
To Work is removed from the Requests navigation.
Who can approve time off requests and manage time off policies?
Time Off Requests is removed from the Requests navigation entirely.
Time Off Policies stays visible, but the Create New button is removed and existing policies can't be edited or deleted.
Who can manage and approve availability?
Availability Change is removed from the Requests navigation.
Users Availability stays visible as a read-only view — individual days can't be clicked or changed.
Their own My Availability tab still works, but their changes now go through the normal approval process instead of being approved automatically.
Who can edit time cards?
The Add Timecard button is removed from the Timesheets page.
The Edit button is removed from the timecard detail panel. Timecards can still be opened and viewed.
Who can lock and unlock time cards?
The Lock and Unlock buttons are removed from the timecard panel.
Who can create and edit job codes?
Settings → Job Codes stays visible so job codes can still be referenced, but all add, edit, and delete controls are removed.
Who can set up and manage time clocks and kiosks?
Settings → Time Tracking, Overtime & Breaks, and Enforcements all become read-only. The settings can be viewed but nothing can be changed.
They can no longer set up a shared time clock kiosk by signing in with their username and password.
Who can add, edit, and terminate employees?
The Add Employee button is removed from the employee list.
In the employee profile, the Edit button on the Overview tab and the Terminate Employee button are both removed.
Who can create and edit departments and roles?
Settings → Departments/Roles stays visible, but all add, edit, and delete controls are removed.
Who can view and edit employee wages?
The Wages tab is removed from the employee profile.
The Wage column is hidden on the Timesheets page.
The Rate and Estimated Pay columns are hidden on the Pay report.
🔒 This is the permission to turn off if you want shift leads to manage the schedule and timesheets without seeing what anyone earns.
Who can change company details, on-call settings, and modules on/off?
Settings → Company Details becomes read-only and the Save button is removed.
Settings → Modules on/off stays visible but the toggles can't be changed.
Settings → On-Call Shifts becomes read-only.
Who can manage the plan and billing?
Settings → Plan & Billing stays visible so plan and billing information can still be seen, but Upgrade, Change Plan, and all other action buttons are removed.
Who can view company reports?
Reports is removed from the left navigation entirely, and typing the reports address directly redirects them away.
Who can view and contribute to the manager log?
The Manager Log tab is removed from the employee profile.
Who has access to and can edit this permissions page?
Permissions is removed from the Settings navigation, and typing the permissions address directly redirects them away.
⚠️ Be careful with this one. If you turn it off for an access level, nobody at that level can turn it back on — only the Account Owner will be able to reach the Permissions page.
