Each employee in Teamsly has a profile where you can view and manage everything about them — their personal details, roles, wages, performance stats, and manager notes. You can also terminate employees when they leave, and rehire them if they return.
Open the Employees tab from the left navigation. Employees are listed grouped by role. Click any employee's name to open their profile.
The Employee List
The Employees page has three tabs:
Staff — All active employees who have accepted their invitation and can log in
Not Activated — Employees who have been added but haven't yet accepted their activation email
Terminated — Employees who have been terminated; they remain on file here for rehire or reference
Employee Profile Tabs
Click an employee to open their profile modal. It has five tabs:
Overview
The core identity and login details for the employee:
Name — First and last name
Username — Their login email
Phone number
Date of birth
Start date
Login PIN — Used for the shared time clock kiosk
Payroll ID — For payroll system integration
Locations / Roles
Shows which locations the employee works at and which roles they hold. You can add or update roles and locations here.
Wages
Set the employee's pay type (hourly or annual), their wage amount, and the effective date. Teamsly keeps a full wage history so you can track changes over time.
Stats
A running record of the employee's performance data:
Shifts worked, shifts picked up, shifts late, no-shows
Average shift feedback rating
Missed forms and missed audits
Manager Log
A private notes area for managers. Notes in the Manager Log are only visible to managers — employees cannot see them. Use this for performance notes, warnings, or anything you want to keep on file.
Editing an Employee
Open the employee's profile and update any field directly. Changes save when you click Save.
Terminating an Employee
When an employee leaves, open their profile and click the Terminate Employee button at the bottom. A confirmation modal will appear:
⚠️ Terminate Employee — Terminating this employee will not delete any of their records. Their timecards, audits, forms, quizzes, and shift history will remain on file. However, any currently assigned shifts will be converted to open shifts, and the employee will no longer be able to log in.
Click Yes, terminate this employee to confirm. The employee is removed from the active staff list and moved to the Terminated tab.
The Terminated Tab
The Terminated tab shows all employees who have been terminated. For each one you can see their name, username, roles, phone number, and the date they were terminated. All of their historical records — timecards, forms, audits, quizzes, and shift history — remain fully accessible.
Rehiring an Employee
If a terminated employee returns, click the Re-hire button next to their name in the Terminated tab. This reinstates their account immediately — they'll appear back in the main employee list and can log in again as normal.
✅ Rehired employees retain all their previous records and history. You don't need to re-enter any of their information.
