How to Set Up Departments and Roles

How to create and manage departments and roles to organize your team in Teamsly

Departments and roles are the foundation of how Teamsly organizes your team. Departments group related roles together — like Front of House or Back of House — while roles define what a person does, like Server, Line Cook, or Bartender. Shifts are scheduled to roles, so setting these up correctly makes scheduling faster and more accurate.

Getting There

Click the gear icon at the bottom of the left navigation to open Settings, then select Departments/Roles.

Departments

Departments let you group roles by area of your business. For example, a restaurant might have:

  • Front of House — Host, Server, Busser, Bartender

  • Back of House — Kitchen Manager, Head Chef, Line Cook, Dishwasher

  • Operations — Purchasing Coordinator

Departments are useful when building schedules — you can create separate schedules per department, filter the schedule view by department, and manage teams that operate independently.

Adding a Department

Click New Department, give it a name, and save. Once created, you can assign roles to it.

Editing or Deleting a Department

Use the pencil icon next to a department to rename it or manage which roles belong to it. Use the trash icon to delete it.

💡 Teamsly pre-fills departments and roles based on your industry during signup. Review them and add, rename, or remove any to match your actual business structure.

Roles

Roles define job types within your business. When you schedule, you schedule a shift for a specific role — then assign an employee who holds that role to it. Employees can hold multiple roles.

Adding a Role

Click New Role, enter the role name, and save. Assign it to one or more departments so it appears in the right scheduling views.

Editing or Deleting a Role

Use the pencil icon next to a role to rename it. Use the trash icon to delete it.

⚠️ A role must be assigned to at least one department to appear when scheduling by department. If a role isn't showing up in your schedule view, check that it's assigned to the correct department.
