Adding Employees

How to add employees to Teamsly — one at a time, by pasting from a spreadsheet, via CSV upload, or by importing from another location

There are four ways to add employees to Teamsly. You can add a single employee manually, paste in data from a spreadsheet for multiple employees at once, upload a CSV file for bulk imports, or bring in employees from another location in your account.

To get started, open the Employees tab from the left navigation and click the Add Employee dropdown in the top right.

Option 1: Add Employee (Single)

Use this to add one employee at a time. Fill in their details in the form:

  • First and last name

  • Email address

  • Phone number

  • Date of birth

  • Start date

  • Payroll ID

  • Role(s)

  • Wage type (hourly or salary)

  • Manager checkbox — check this to give the employee manager access

Click Save when done. The employee is added to your team and grouped by role in the employee list.

📧 Employees don't receive an invite automatically after being created. Go to the Not Activated tab and click Send Activation Email next to their name — or click Send All Activation Emails to invite everyone at once.

Option 2: Add Multiple Employees

This option lets you add several employees at once by copying and pasting data directly from an existing spreadsheet. Teamsly maps your spreadsheet columns to the right fields automatically.

  1. Open your spreadsheet (Excel, Google Sheets, etc.) and copy the employee data you want to import

  2. Select Add Multiple Employees from the dropdown

  3. Paste your data into the import area — Teamsly will match the columns to the correct employee fields

  4. Review the mapped data to make sure everything looks right, then save

💡 This is the fastest option when you already have employee data in a spreadsheet. No need to reformat a CSV — just copy, paste, and review.

Option 3: Upload Employees (CSV Bulk Import)

Use this to import employees from a formatted CSV file. This is ideal for large teams or when migrating from another system.

  1. Select Upload Employees from the dropdown

  2. Click Download user upload template to get the CSV template formatted for your account — it includes the accepted locations and roles already in your Teamsly setup

  3. Fill in your employee data in the template

  4. Click Bulk upload users and select your completed CSV file

📄 Always use the downloaded template rather than creating your own CSV. It's pre-formatted with the correct column headers and already includes your valid locations and role names.

Option 4: Import From Other Locations

If your Teamsly account has multiple locations, you can copy employees from one location to another without re-entering their information.

  1. Select Import From Other Locations from the dropdown

  2. Check the box next to each employee you want to bring into this location

  3. Click Import

Imported employees keep all their existing profile information and will appear in the employee list for this location.
