Teamsly is committed to using location data responsibly. This article explains exactly what is collected, when, and how it's used — so both managers and employees know what to expect.
What Teamsly Collects
Teamsly captures two types of location data:
GPS stamps at clock events — A location snapshot is saved each time an employee clocks in, clocks out, or takes a break. This is stored on the employee's timecard and is visible to managers.
Continuous route tracking — When real-time location tracking is enabled, Teamsly records the employee's GPS position and travel route throughout their shift. This includes the path traveled and the distance covered.
When Tracking Is and Isn't Active
Tracking starts when an employee clocks in
Tracking stops the moment an employee clocks out
Tracking is never active outside of working hours — Teamsly does not track employees when they are off the clock, regardless of whether the app is installed on their phone
No location data is shared with managers unless the employee is actively clocked in
🔒 Teamsly never tracks employees outside of their working hours. The app does not run location tracking in the background when an employee is off the clock.
Employee Transparency
Employees are always informed when location tracking is active:
When an employee clocks in for the first time with tracking enabled, they are prompted to grant location permissions and are shown an explanation of how location data is used
Employees in roles with real-time tracking enabled are required to keep their device location permissions set to Always in order to clock in — this requirement is communicated clearly at setup
Employees can view their own timecard, which includes the GPS location captured at each clock event
Who Can See Location Data
Location data is visible to managers and administrators only. Employees cannot see the live locations of their colleagues. Managers can see:
The GPS location captured at each clock-in, clock-out, and break event on an employee's timecard
The real-time position of clocked-in employees on the Live Status map (if real-time tracking is enabled)
The route an employee traveled during any shift, including distance
Role-Based Tracking
Real-time location tracking doesn't have to apply to everyone. When enabling the feature in Settings, managers choose which roles are tracked — it can be set to All Roles or limited to specific roles. Employees in roles not selected for tracking are not tracked, even if the feature is enabled for other roles.
💡 GPS stamps at clock events are captured for all employees using the mobile time clock, regardless of whether real-time tracking is enabled. Real-time route tracking is the optional additional layer that requires explicit configuration.
