Comparing Planned Hours With Actual Hours

How to use the Timesheets Pay report to compare planned scheduled hours with actual worked hours and labor costs in Teamsly

The Timesheets Pay report lets you compare how many hours employees were scheduled against how many hours they actually worked and were paid for. It gives you a clear picture of overtime, labor costs, and any discrepancies between planned and actual time — making it the go-to report before running payroll.

Getting There

Click the Reports icon in the left navigation. Under the Reports section, click Schedule Summary, then switch to the Pay tab at the top of the page — or go to Timesheets & Reports from the left navigation and click the Pay tab there.

What You'll See

The report shows a summary row at the top with totals across your entire team for the selected period:

  • Paid Hours — total hours paid across all employees

  • Regular Hours — total regular (non-overtime) hours worked

  • Overtime — total overtime hours accrued

  • Paid Breaks — total paid break time

  • Est Pay — estimated total labor cost for the period

Below the summary, the report lists each employee with their role, wage, timecard dates, hours per shift, any issues flagged on their timecards, and whether any entries were on-call shifts. You can expand each employee to see their individual timecard entries.

⚠️ If an employee has a red issue icon on a timecard entry, it means there's something that needs your attention — such as a missed clock-out, a no-show, or a missed break. Review these before finalizing payroll.

Filtering the Report

Use the date range controls at the top to select a specific payroll period or custom date range. You can also filter by role, department, or individual employee to focus on a specific part of your team.

Exporting

Click Export PDF in the top right to download the report. To export a full payroll-ready CSV, use the Download button in the Timesheets view — see Exporting Timesheets for the full walkthrough.
