Administrator Quick Start Guide

A step-by-step guide for account owners and admins getting started with Teamsly

Teamsly helps you schedule your team, track work hours, manage requests, and run reports β€” all in one place. As an Account Owner or Administrator, you're responsible for setting up your company's account, configuring settings, and making sure everything runs smoothly day to day.

This guide walks you through everything you can do as an admin, how to get your account set up, and where to find the key tools.

Getting Started with Teamsly

Create Your Account (Account Owners only)

If you're the person setting up Teamsly for your company:

  1. Visit teamslyapp.com and start your free trial

  2. Enter your email, first and last name, and create a password

  3. Add your company name

  4. Enter your mobile number

  5. Add your locations (each location's address sets its time zone)

  6. Select the features you want to enable

  7. Set up your departments and the roles within each department

Join as an Admin (if you've been invited)

If another admin added you to the account, you'll receive an activation email. Follow the link to set your password and access your company's account.

Choosing Your Features

During setup β€” and any time afterward from Settings β€” you can turn modules on or off to match how your business runs. Available modules include:

  • Scheduling β€” Build and publish staff schedules

  • Time Off β€” Accept and manage PTO and leave requests

  • Timesheets β€” Track clock-ins, breaks, and hours worked

  • Courses & Quizzes β€” Train and test your team

  • Audits β€” Run inspections and scored evaluations

  • Forms β€” Collect information with digital forms and checklists

  • Jobs β€” Dispatch crews to jobs and worksites

  • Tasks β€” Assign one-off and recurring tasks

  • Job Codes β€” Track time against specific jobs or cost codes

  • On-Call Shifts β€” Schedule and pay on-call coverage

βœ… All features are optional. You can enable only what you need and turn others on later as your team grows.

The 5 Setup Steps

After signup, Teamsly opens a built-in Quick Start Guide that walks you through five steps. You can reopen it any time using the Quick Start Guide button in the top right corner of the app.

Step 1: Review Departments & Roles

Teamsly pre-fills departments and roles based on your industry. Review them and add, rename, or remove any to match your business. For example, a restaurant might have a Front of House department with Host, Server, Busser, and Bartender roles, and a Back of House department with Kitchen Manager, Head Chef, Line Cook, and Dishwasher roles.

Step 2: Add Your Employees

You can add your team three ways:

  • One at a time β€” Enter each employee's details individually

  • Bulk upload β€” Import many employees at once with a CSV file

  • Import from another location β€” Copy employees you've already added elsewhere

When creating an employee, you'll set their first and last name, email, phone, date of birth, start date, payroll ID, role(s), and wage type. You can also mark them as a manager.

πŸ“§ Employees don't receive an invite automatically. Go to the Not Activated tab and choose Send Activation Email for one person, or Send All Activation Emails to invite everyone at once.

Step 3: Add Shift Types

Shift types are the common shift patterns your business uses. Give each one a name, start and end time, and a color so it's easy to spot on the schedule β€” for example, Lunch (9:00am–4:00pm), Dinner (4:00pm–12:00am), or Closing (6:00pm–2:00am).

Step 4: Build Your Weekly Schedule

Set up your recurring staffing needs in a simple table β€” choose the role, title, shift type, start and end times, and which days of the week the shift repeats. If you'd rather not use recurring shifts, you can select Not using recurring shifts and build schedules manually instead.

Step 5: Set Up Your Time Clock

Configure how your team tracks time:

  • Start of Workweek β€” The day your workweek begins

  • Payroll cycle β€” Weekly, bi-weekly, semi-monthly, or monthly

  • First payroll period date β€” When your first pay period starts

  • Mobile time clock β€” Let employees clock in from their phones

  • Unscheduled shift clock-in β€” Allow clock-ins without a scheduled shift

  • Cash & credit tips β€” Let employees declare tips

Configuring Your Settings

The Settings area (the gear icon at the bottom of the left navigation) is where you manage the core structure of your account.

Company Details

Set your account owner, company name, and logo. Manage all your company locations and add new ones here.

Plan & Billing

View and manage your subscription and payment details. This is also where you can delete your company if needed.

Departments & Roles

Create and manage departments and the roles within them at any time using New Department and New Role.

Modules

Turn features on or off for your whole account with a simple toggle for each module.

Time Tracking

Set your workweek start, payroll cycle, and first payroll date. Enable the mobile time clock, unscheduled clock-ins, and tip declaration. You can also turn on geo-fencing and real-time location & route tracking, choose which roles are tracked, and set the fence size per location on a map.

Overtime & Breaks

Define your overtime rules β€” for example, daily overtime after 8 hours (1.5Γ—) and 12 hours (2Γ—), and weekly overtime after 40 hours (1.5Γ—). Configure manual or automatic breaks, set them as paid or unpaid, and make them optional or mandatory after a set number of hours. You can also flag salaried employees and enable overtime notifications.

Enforcements

Set rules that keep time accurate: mark employees late after a set number of minutes, prevent early clock-ins, send clock-out reminders, require tip declaration after a shift, and auto clock-out employees a set time after their shift ends.

On-Call Shifts

Enable on-call scheduling and choose a pay type: No Pay, Flat Stipend Per Shift, or Hourly Rate. You can also set a called-in pay multiplier. On-call time appears as its own row on the timesheet and doesn't count toward overtime.

Shift Feedback

Automatically send employees a feedback prompt a set number of minutes after their shift ends, on the days you choose.

Job Codes

If enabled, create and manage job codes so time can be tracked against specific jobs, clients, or cost codes.

Managing Employees

Open the Employees tab to manage your team. Employees are grouped by role, with Staff and Not Activated tabs. Click any employee to open their profile, which includes:

  • Overview β€” Name, username, phone, date of birth, start date, login PIN, and payroll ID

  • Locations / Roles β€” Where they work and what roles they hold

  • Wages β€” Hourly or annual pay, effective date, and wage history

  • Stats β€” Shifts worked, picked up, late, no-shows, average rating, and missed forms or audits

  • Manager Log β€” Private notes visible only to managers

You can terminate an employee from their profile when they leave the company.
