As a Manager in Teamsly, you're in charge of day-to-day operations — building and publishing schedules, approving requests, keeping an eye on who's working, reviewing hours, and keeping your team informed. This guide covers everything you'll do regularly and where to find it.
Your Dashboard
The dashboard is your daily command center. At a glance you can see:
Daily overview — Open shifts, shift swap requests, open requests, and availability requests that need your attention
Scheduled today — A bar chart showing how many employees are scheduled per role
Clocked in employees — A live list of who's currently on the clock, with their role and clock-in time
Quizzes — Completion rates for assigned quizzes
Live status — Switch between Live Status, Timeline, and Shift List views, plus a live GPS map if location tracking is enabled
You can also click Create Shift Alert right from the dashboard to notify your team about an open shift that needs coverage.
Building & Publishing Schedules
Open Schedule from the left navigation. You can view your schedule by Month, Employee, or Shift.
Create a Schedule
Click to open the Create Schedule panel, then:
Select the department(s) you're scheduling
Choose the date range
Pick how you want to build it — start from scratch, use AI Auto Schedule, add required shifts, apply schedule templates, or copy from a past week
As you build, Teamsly shows you live counts of Conflicts, Users in Overtime, and Open Shifts so you can fix problems before publishing.
✨
Use AI Auto Schedule to automatically fill your roster based on roles, availability, and staffing needs — then review and adjust before publishing.
Publish the Schedule
Before publishing, the Schedule Overview gives you a summary — employees with overtime, conflicts, open shifts, total shifts, and total staff. When everything looks right, click Publish Schedule to share it with your team. You can keep multiple named schedules (for example, a published version plus drafts for Front of House and Back of House).
Open Shifts & Coverage
If a shift isn't assigned, it becomes an open shift your team can pick up. You can also use Autofill open shifts to let AI suggest the best person for each open slot.
Managing Requests
Open Requests from the left navigation to handle everything your team sends your way. Requests are grouped into:
To Work — Employees requesting to pick up shifts
Swap Shift — Employees asking to trade shifts with a colleague
Availability Change — Updates to when employees can and can't work
Time Off Requests — PTO and leave requests, managed alongside your Time Off Policies
Review each request and approve or decline it. You can also view your team's availability and manage your own under the same section.
Shift Alerts
When you need coverage fast, use Shifts & Alerts. Here you can manage your Shift Types, Staffing Needs, and Schedule Templates, and create a Shift Alert to notify eligible employees about an open shift. Existing alerts are tracked under Shift Alerts.
Timesheets & Reports
Open Timesheets & Reports to review hours worked, breaks, and overtime for your team. Use this to verify time before payroll and to catch missed clock-outs or unusual entries. The Reports section gives you deeper insight into hours, scheduling, quiz scores, audit results, and more.
📊
Review and approve timesheets at the end of each pay period so your payroll export is accurate.
Tasks, Forms & Audits
Keep your operation running consistently with these tools from the left navigation:
Tasks — Assign one-off or recurring tasks to employees and shifts, and track completion
Forms — Create checklists, surveys, and forms for your team to fill out. Forms support 15 field types, including text, ratings, file and image uploads, signatures, and more
Audits — Run scored evaluations on employees, non-employees, locations, or things, with an optional goal score out of 100
You can assign forms and audits from their overview page, attach them to a shift, or set them to auto-assign by shift and day.
Training & Quizzes
Open Quizzes (or Training) to build learning content for your team. Quizzes are scored, while Lessons are for training without a score. When creating a quiz, you can add questions in many formats — text, video, single select, multiple select, free answer, rating, and true/false. Assign training from the overview, from a shift, or automatically by shift and day.
Team Chat & Announcements
Open Chat to stay connected with your team. You can send direct and group messages under Chats, or broadcast an Announcement to keep everyone informed about important updates.
On the Go: The Mobile App
The Teamsly mobile app lets you manage your team from anywhere. From your phone you can:
View your dashboard with today's overview and scheduled staff
Create shift alerts for open shifts
Build and edit shifts — set the date, shift type, role, employee, title, attached forms, and notes
Switch between My Shifts, All Shifts, and Open Shifts
