Teamsly Quick Start Guide

Welcome to Teamsly — the all-in-one workforce management platform for shift-based teams. This guide gives you a high-level overview of how Teamsly works, who does what, and how to get your account up and running fast.

What is Teamsly?

Teamsly brings together everything you need to manage your team in one place:

  • Scheduling — Build and publish weekly schedules, manage open shifts, and let AI auto-fill your roster

  • Time Clock & Timesheets — Track clock-ins and clock-outs with GPS, manage breaks, and export payroll-ready reports

  • Requests & Availability — Handle time off requests, shift swaps, and availability changes in one inbox

  • Tasks — Assign recurring checklists and one-off tasks to employees and shifts

  • Forms & Audits — Create digital forms, checklists, surveys, and audits for your team to complete

  • Training & Quizzes — Build quizzes and lessons to onboard and train your staff

  • Team Chat & Announcements — Communicate with your team through direct messages and broadcast announcements

  • Jobs & Job Codes — Dispatch crews to jobs and track time by task, client, or project

  • Reports — View schedule summaries, hours worked, quiz scores, audit results, and more

How Teamsly Works

Teamsly has three types of users, each with a different experience:

  • Administrators — Full access to all settings, billing, and features. Responsible for the initial setup of the account.

  • Managers — Can build schedules, manage employees, approve requests, review timesheets, and use all operational tools.

  • Employees — Can view their schedule, clock in and out, request time off, swap shifts, complete forms and quizzes, and chat with their team.

Getting Started: The 5 Steps

When you first sign up, Teamsly guides you through a built-in Quick Start Guide with five steps to get your account ready:

  1. Review your departments and roles — Confirm or update the departments and roles Teamsly set up based on your industry during signup.

  2. Add your employees — Invite your team one at a time, in bulk via CSV, or import from another location.

  3. Add shift types — Define the common shift patterns your business uses, such as Lunch, Dinner, or Closing.

  4. Build your weekly schedule — Set up your recurring staffing needs so you're ready to start scheduling.

  5. Set up your time clock — Choose your workweek start day, payroll cycle, and whether to enable mobile clock-ins and GPS tracking.

The Dashboard

Once set up, your dashboard gives you a live view of what's happening across your team:

  • Daily overview — Open shifts, shift swap requests, open requests, and availability requests

  • Scheduled today — A bar chart showing how many employees are scheduled per role

  • Clocked in employees — A live list of who's on the clock right now, with their role and clock-in time

  • Quizzes — A completion rate summary for assigned quizzes

  • Live location map — If live location tracking is enabled, a real-time map showing where your clocked-in employees are

The Mobile App

Teamsly is available on iOS and Android. The mobile app is designed for both managers and employees:

  • Managers can view the dashboard, create shift alerts, manage requests, and review timesheets on the go

  • Employees can clock in and out, view their schedule, take breaks, complete forms and quizzes, chat with teammates, and request time off — all from their phone
