Managers can create timecards manually when an employee forgets to clock in or out, and edit any existing timecard to correct hours, breaks, tips, or job codes. All changes are reflected immediately in the timesheet totals and payroll estimates.
Getting There
Click Timesheets in the left navigation. Find the employee whose timecard you need to add or edit.
Opening a Timecard
Click any timecard row in the timesheet to open the full timecard detail panel on the right. The detail view shows:
Date, Total Paid Hours, Regular Hours, Paid Break
Hrs Worked, Clock-In time and GPS address, Clock-Out time
Breaks (paid and unpaid) with times
Missed breaks count with an Add link
Cash Tips and Credit Tips (if enabled)
Job Codes (if enabled) — the job code worked during the shift
Notes and Photo & GPS Validation sections
A View Timeline button showing every clock event in chronological order
Click Edit in the top right of the detail panel to open the edit view.
Editing a Timecard
In the edit panel you can modify:
Hrs Worked — adjust the clock-in and clock-out times using the dropdowns
Total Paid Breaks — edit existing paid breaks (duration, start time, end time) or click Add a break to add new ones
Total Unpaid Breaks — same controls for unpaid breaks
Cash Tips / Credit Tips — update tip amounts (visible only if tips are enabled in Settings)
Job Codes — add, change, or remove job codes and their start/end times (visible only if Job Codes module is enabled)
Click Save to apply. To delete the timecard entirely, click the trash icon and confirm.
💡 The Cash Tips and Credit Tips fields only appear if Do your users declare cash and credit tips? is enabled in Settings → Time Tracking. If you don't see these fields, check that setting first.
Creating a New Timecard
If an employee forgot to clock in entirely, you can add a timecard manually:
Click Add Timecard in the top right of the Timesheets page.
Select the Employee and Date.
Set the Hrs Worked start and end times.
Add any breaks, tips, and job codes as needed.
Click Save.
⚠️ Manually created timecards won't have a GPS location attached since they weren't created via the time clock. If GPS validation is important for your records, note this in the timecard's Notes field.
