Managing Schedules From the Mobile App

How to create, view, edit, and publish schedules from the Teamsly mobile app

The Teamsly mobile app gives managers full control over scheduling on the go. You can create schedules, add and edit shifts, switch between multiple schedules, and publish — all from your phone. This article covers everything you can do with schedules from the mobile app.

Getting There

Tap Schedule in the bottom navigation bar. The schedule currently set as active loads by default, showing the current week's shifts.

Viewing the Schedule

At the top of the Schedule tab you'll find three views:

  • My Shifts — Only the shifts assigned to you

  • All Shifts — Every shift across all employees for the selected day (manager view)

  • Open Shifts — Unassigned shifts that are available to be picked up

Tap any day in the weekly calendar strip to jump to that date. Shifts are listed below, showing the role, employee name, and time range.

Switching Between Schedules

If you have multiple schedules (for example, separate Front of House and Back of House drafts, or a published schedule alongside a new draft), tap the schedule name dropdown in the top right of the Schedule tab. A list of all your published and draft schedules will appear — tap the one you want to load it.

📋 The schedule name and date range are shown in the top right. If you're viewing a published schedule, it will say "Published" there. Draft schedules show the schedule name and date range.

Creating a New Schedule

  1. Tap the blue + floating button in the bottom right.

  2. Tap Add Schedule.

  3. Choose your Departments and set the Date range.

  4. Select how to build it — toggle on AI Auto Schedule, Import Shifts (staffing needs), and/or Apply Shift Templates, or scroll down to use Copy From Past Week.

  5. Tap Create.

Adding a Shift

  1. Tap the blue + floating button and select Create Shift.

  2. Fill in the shift details: Date, Time, Role, Employee (optional — leave blank for an open shift), Title, and Notes.

  3. Tap Create to save.

📱 The Employee field only becomes available after you select a Role and Date first — "Select role & date first" is shown until both are filled in.

Editing a Shift

  1. Tap any shift in the schedule list to open its details.

  2. Tap the pencil icon in the top right to edit.

  3. Update any fields — date, time, role, employee, title, notes, or attached forms.

  4. Save your changes.

Deleting a Shift

Open the shift details by tapping it, then tap the trash can icon in the top right and confirm. The shift is permanently removed from the schedule.

Publishing a Schedule

  1. Make sure you're viewing the draft schedule you want to publish — switch schedules using the dropdown in the top right if needed.

  2. Tap the Publish Schedule button at the bottom of the screen. The button shows the total number of shifts (for example, "Publish Schedule (303)").

  3. Choose whether to Remove unscheduled shifts and who to notify — Notify everyone or Don't notify anyone.

  4. Tap Publish Now.

⚠️ Mobile does not show the Schedule Overview before publishing. If you want to review overtime, conflicts, and open shift counts before going live, publish from the web instead.
