Schedule Templates are for businesses with repeatable weekly schedules, or employees who have a set weekly pattern. Here you assign the shifts from your Staffing Needs to specific employees, on a weekly or bi-weekly basis. When creating a schedule, you can choose to apply a template and those assignments are added automatically — saving time and keeping your schedules consistent week after week.
💡 Schedule Templates are optional, but they're especially useful for teams where most employees work the same shifts every week. Set it up once and building your weekly schedule takes seconds.
Getting There
From the left navigation, click Shifts & Alerts, then select the Schedule Templates tab.
Creating a Schedule Template
Click the Create Template dropdown in the top right
Select the employee you want to assign shifts to — their name appears as a row in the template grid
Click into a cell for the day of the week you want to assign a shift
Choose a shift from your Staffing Needs — only shifts defined there will be available to assign
Choose how often it repeats: Weekly, Biweekly – Odd Weeks, or Biweekly – Even Weeks
Repeat for each employee and day you want to cover
📅 Odd and Even weeks are based on the calendar week number from the start of the year. Weeks 1, 3, 5, etc. are Odd; Weeks 2, 4, 6, etc. are Even. Use this to set up bi-weekly rotating schedules.
Using a Schedule Template When Building a Schedule
When you create a new schedule, Teamsly gives you the option to apply a schedule template. Selecting this automatically adds all the template assignments to your schedule. Any staffing need shifts that weren't assigned to an employee in the template will be added as open shifts.
✅ Templates work together with Staffing Needs. Set your minimum coverage requirements in Staffing Needs, assign those shifts to employees in Schedule Templates, and apply the template each week — your schedule is ready in seconds.
