Teamsly lets you work on as many schedules as you need at the same time. Each schedule is defined by a date range and a set of departments, so you can run a Front of House and Back of House schedule side by side, or keep a draft for next week while this week's is already published.
Getting There
Click Schedule in the left navigation. The schedule you're currently working on loads by default.
Creating a New Schedule
There are two ways to start a new schedule from the web:
Click the Create Schedule button in the left sidebar of the Schedule page.
Click the dropdown arrow next to Publish Schedule in the top right and select Create new schedule.
Set the departments, date range, and build method (AI Auto Schedule, Add Required Shifts, Apply Schedule Templates, or Copy from a Past Week), then click Create. The new schedule opens as a draft and you can start adding shifts right away.
💡 You can create as many schedules as you need — there's no limit. Common setups include separate schedules per department (Front of House / Back of House) or overlapping schedules by date range.
Switching Between Schedules
To switch to a different draft schedule, click the dropdown arrow next to Publish Schedule in the top right. All your current draft schedules are listed there by name and date range. Click the one you want to load it into the schedule builder.
Published schedules work the same way — click the dropdown and select a published schedule to view its shifts.
📋 Once a schedule is published, all its shifts become part of that published schedule. To view or edit published shifts, select the published schedule from the dropdown — they won't appear in a draft schedule view.
Show All Shifts
In the top right of the schedule builder there's a Show All Shifts toggle. When you turn this on, Teamsly overlays shifts from all other published and draft schedules onto the one you're currently working on. Shifts from other schedules appear at half opacity — you can see them but can't edit them.
This is useful for making sure you don't accidentally schedule the same employee twice across two different schedules or duplicate a shift that's already been covered in another draft.
👁️ Show All Shifts is view-only for shifts from other schedules. You can only edit shifts that belong to the schedule currently loaded in the builder.
Managing Multiple Schedules on Mobile
You can create and switch between schedules from the mobile app too.
Create a new schedule — Tap Schedule in the bottom navigation, tap the blue + floating button, and select Add Schedule. Fill in the departments, dates, and build options, then tap Create. You can create as many as you need.
Switch between schedules — Tap the schedule name dropdown in the top right of the Schedule tab. A list of your published and draft schedules will appear — tap the one you want to load it.
