AI Auto Schedule lets Teamsly's AI automatically fill your roster for you. Instead of assigning employees to shifts one by one, the AI builds a complete draft schedule based on your staffing needs, employee availability, and past scheduling patterns — in seconds. You review and adjust before publishing.
How to Access It
Click Schedule in the left navigation
Click Create Schedule
Choose your departments and date range
Check AI Auto Schedule
Click Create
The AI will generate a full draft schedule. You can then review every shift, make any adjustments, and publish when ready.
📱 AI Auto Schedule is also available on mobile. Tap Schedule → + → Add Schedule and toggle on AI Auto Schedule before tapping Create.
What the AI Takes Into Account
The AI doesn't fill slots randomly. It considers multiple factors to build the most accurate schedule possible:
Staffing Needs — The roles, times, and shift counts you've defined as your minimum weekly coverage
Employee availability — Both preferred availability and unavailable blocks set by each employee
Preferred schedules — The days and times employees have indicated they prefer to work
Seniority and tenure — How long employees have been with the company, factored into scheduling priority
Past scheduling habits — The AI learns from your previous schedules over time, recognizing patterns in how you've scheduled roles, shifts, and employees, and applies that knowledge to future auto-generated schedules
✨ The more you use Teamsly, the smarter AI Auto Schedule gets. It learns from your past scheduling decisions and improves its suggestions over time — so your schedules get faster and more accurate the longer you use it.
Reviewing and Adjusting the Schedule
Once the AI generates the schedule, it opens as a draft in the schedule builder. You have full control — add, edit, or remove any shift before publishing. The builder shows live counts of Conflicts, Users in Overtime, and Open Shifts so you can spot and fix any issues before the schedule goes live.
💡 AI Auto Schedule can be combined with Add Required Shifts and Apply Schedule Template in the same schedule. It cannot be combined with Copy from a Past Week.
Tips for Best Results
Set up Staffing Needs first — the AI uses these as the foundation for what shifts need to be covered. The more complete your staffing needs, the better the output.
Keep availability up to date — make sure employees have submitted their availability so the AI can avoid scheduling conflicts.
Use it regularly — the AI improves over time the more schedules you build with it.
