Managing Time Off Requests

When an employee submits a time off request, it lands in the Time Off Requests queue for manager review. Managers can approve or deny requests on both web and mobile, and can also add time off directly on behalf of employees.

On the Web

Go to Requests → Time Off Requests. The Open Requests tab shows all pending requests. Each row displays the employee's name, request dates, type (PTO, Paid Sick Leave, or Unpaid), reason, notes, the date it was submitted, and a Scheduled column.

Shifts Scheduled Warning

If the employee has shifts scheduled during the requested time off period, the Scheduled column will show a red Shifts Scheduled warning. Click it to see a popup listing each conflicting shift. You can also click the employee's name to open a full calendar view of all their scheduled shifts.

Approving or Denying

Click Approve to approve the request. If the employee has scheduled shifts during the period, a dialog will appear asking what to do with those shifts:

  • Convert to open shifts — the shifts remain on the schedule as open shifts that other employees can request to work.

  • Delete shifts — the shifts are removed from the schedule entirely.

Select an option and click Save to complete the approval.

Click Deny to reject the request. The employee will be notified and the request will move to the History tab.

All past decisions are logged on the History tab with the employee name, dates, type, reason, notes, and decision.

Adding Time Off on Behalf of an Employee

Managers can also submit time off directly without waiting for an employee request. Click Add Time Off in the top right corner:

  1. Select the Employee.

  2. Choose the Type (PTO, Paid Sick Leave, or Unpaid Time Off).

  3. Add an optional Comment.

  4. Set the Request Dates. Each day will appear below — toggle All Day off to set specific hours.

  5. The Total hours are shown in real time. If the request exceeds the employee's available balance or violates the advance notice policy, an error will appear in red.

  6. Click Submit Request.

On Mobile

Tap More → Request Off. Managers see two tabs: Team Requests and My Requests.

The Team Requests tab lists all pending employee requests. Tap any request to open the detail view, which shows the employee's name, request dates, type, notes, and any shifts scheduled during the requested period.

Tap Approve or Deny at the bottom. If the employee has scheduled shifts and you tap Approve, a dialog will appear asking whether to Convert to open shifts or Delete shifts. Select an option and tap Approve to confirm.

To add time off on behalf of an employee on mobile, tap the + button in the top right of the Request Off screen and complete the same form.

💡 Approved PTO and Paid Sick Leave hours are automatically added to the employee's timesheet — no manual entry required.
