Editing, Reassigning, or Deleting a Shift

How to edit, reassign, move, copy, and delete shifts on a published or draft schedule in Teamsly

Once shifts are on your schedule, you can edit their details, reassign them to different employees, move or copy them to other days, and delete them when needed. How you access these options depends on whether the schedule is published or still in draft.

Getting There

Go to Schedule in the left navigation and open the schedule you want to work on. Use the Employee or Shift view for the most direct access to individual shifts.

Opening a Shift — Published vs. Draft

How a shift opens when you click it depends on the schedule's status:

  • Published schedule — Clicking a shift opens it in a read-only view showing the date, time, role, employee, and any preference info. To make changes, click More in the top right of the panel and select Edit Shift to make all fields editable.

  • Draft schedule — Clicking a shift opens it directly in a fully editable state. All fields are immediately available to change.

💡 You can edit shifts on a published schedule at any time. Changes take effect immediately and update in real time for employees.

Editing a Shift

Once a shift is open in edit mode, you can update any of the following fields:

  • Date — Change the shift to a different day

  • Time — Update the start and end time or shift type

  • Role — Change the role assigned to the shift

  • Employee — Reassign the shift to a different employee, or remove the assignment to make it an open shift

  • Title — Add or update a custom label visible to the employee

  • Notes — Add or update notes for the employee

  • Forms — Attach or change a form, audit, checklist, survey, or task assigned to this shift

Click Save when done.

The More Menu (Published Schedules)

On a published schedule, clicking More in the shift panel gives you additional options beyond editing:

  • Edit Shift — Opens all fields for editing

  • Add Title — Quickly add a custom title to the shift

  • Add Note — Add a note visible to the assigned employee

  • Unassign Shift — Removes the employee assignment, converting the shift to an open shift

  • Called in Sick — Marks the employee as sick for the shift and converts it to an open shift

  • Delete Shift — Permanently removes the shift from the schedule

Reassigning a Shift

To move a shift from one employee to another, open the shift in edit mode, select a different employee from the Employee field, and save. The shift stays in the same date and time slot but is now assigned to the new employee.

Drag and Drop

In the Employee and Shift views, you can drag any shift to a new position on the schedule:

  • Drag to an empty day — Moves the shift to that day for the same employee

  • Drag to another employee's row — Reassigns the shift to that employee

  • Drag over an occupied day — When you drag a shift over a day that already has a shift assigned, you'll see a Copy or Move option. Choose Copy to duplicate the shift there, or Move to relocate it.

💡 Drag and drop is a fast way to fill coverage gaps — drag a shift from one employee directly into another employee's row to reassign it in one move.

Right-Click Options

Right-clicking on any shift opens a quick context menu with two options:

  • Delete — Permanently removes the shift from the schedule

  • Unassign — Removes the employee assignment, making it an open shift

Deleting a Shift

To delete a shift, right-click it and choose Delete, or open the shift and select Delete Shift from the More menu. Deleted shifts are permanently removed.

⚠️ Deleting a shift on a published schedule removes it immediately — employees will no longer see it. If you want to keep the slot open rather than remove it entirely, use Unassign Shift instead so it remains as an open shift.

Editing or Deleting a Shift on Mobile

You can also edit and delete shifts from the Teamsly mobile app as a manager.

  1. Tap Schedule in the bottom navigation and find the shift you want to change.

  2. Tap the shift to open its details overview — you'll see the date, time, role, employee, and any attached notes or forms.

  3. To edit the shift, tap the pencil icon in the top right. All the same fields available on web — date, time, role, employee, title, notes, and forms — are editable on mobile.

  4. To delete the shift, tap the trash can icon in the top right and confirm.

📱 Mobile editing works on both draft and published schedules. Changes save immediately and are reflected across web and mobile right away.
