Reviewing Availability While Scheduling

Teamsly surfaces employee availability directly inside the schedule so you can build shifts around your team's real constraints. You'll see availability warnings when creating shifts, conflict indicators on the schedule itself, and a filter to find available employees for any time slot.

Getting There

Go to Schedule in the left nav. Availability information is visible in the Employee view.

Availability Warning When Adding a Shift

When you create or edit a shift and select an employee, Teamsly immediately checks their availability for that day and time. If there's a conflict, you'll see a pink Unavailable label below the employee's name and a yellow warning that reads "Date and time conflicts with user's availability."

You can still click Save and assign the shift — the warning is informational, not a block. The shift will be saved, but it will be flagged as a conflict.

⚠️ Scheduling someone during their unavailable hours won't prevent the shift from saving, but it will count toward your Conflicts total and show on the shift card. Make sure to resolve conflicts before publishing.

Conflict Indicators on the Schedule

After saving a conflicting shift, three things happen on the schedule:

  • An orange exclamation icon appears on the shift card. Hover over it to see the message "This shift conflicts with [employee]'s unavailability."

  • The Conflicts counter in the top-right of the schedule header increases (shown in orange). Click it to see all conflicts at once.

Resolving conflicts before publishing keeps your schedule clean and avoids scheduling employees on days they've told you they can't work.

Filtering the Schedule by Availability

The Availability filter in the schedule toolbar lets you find employees who are free during a specific window. To use it:

  1. Click Availability in the filter bar above the schedule grid.

  2. A dropdown will appear showing Available on with a time range slider.

  3. Drag the slider to set the start and end time you need coverage for.

  4. Click Filter.

The schedule will show only employees who are available (or have no restrictions) during that window. Click Clear to remove the filter.

💡 Use the Availability filter when filling open shifts — it instantly narrows your employee list to people who are free during the shift time you need to cover.
