Availability lets employees tell managers which days and times they can and can't work — and which shifts they prefer. Managers can view everyone's availability in one place, add or edit availability on behalf of any employee, and approve availability change requests when an employee's schedule needs to update.
Getting There
Employees (web): Go to Requests in the left nav → My Availability
Employees (mobile): Tap More → Availability
Managers — view all employees: Go to Requests → Users Availability
How Availability Works
Each day can have one or more availability blocks. Every block is either Unavailable (shown in pink) or Preferred (shown in blue). Days with no blocks set have no restrictions.
Managers will see your availability when building the schedule — both as a warning on the shift creation panel and as a conflict flag on the schedule itself.
Setting Your Availability on the Web
On the My Availability page, your week is displayed as a timeline grid. To add a block:
Click the + button on any day row — a popup will appear.
Choose Unavailable or Preferred at the top of the popup.
Set a start and end time using the dropdowns, or toggle Whole Day to mark the entire day.
Click Save.
To remove all blocks at once, click the Clear button in the top right of the page.
💡 You can add multiple blocks to the same day. For example, you could mark 8:00 AM–12:00 PM as Unavailable and 4:00 PM–10:00 PM as Preferred on the same day.
Setting Your Availability on Mobile
Tap More → Availability to see your current availability listed by day. To make changes:
Tap the pencil icon in the top right to open the Request New Availability screen.
Tap the + next to any day to add a block. You'll be taken to the Add Availability screen.
Select Unavailable or Preferred at the top.
Toggle All Day on, or set a Start Time and End Time.
Use the Repeat on day buttons to apply the same block to multiple days at once.
Tap Add to save the block.
To remove a block, tap the ✕ button next to it. When you're done making changes, submit the request for manager approval.
📱 The Repeat on option is a fast way to set the same availability across your whole week. Select all the days you want, then tap Add once.
Managers: Viewing and Editing Employee Availability
Go to Requests → Users Availability to see every employee's weekly availability grouped by role. You can use the Filter button in the top right to narrow down by name or role.
To add or edit availability for a specific employee, click the + button on any cell in their row. The same Unavailable / Preferred popup will appear, and changes take effect immediately — no approval required when a manager makes the edit directly.
Approving Availability Change Requests
When an employee submits a change to their availability, it appears as a pending request for manager review.
On the web: Go to Requests → Availability Change. Open requests are shown on the Open Requests tab. Each card shows the employee's name, their proposed new weekly availability, and any notes they've added. Click Approve or Deny to respond. Past decisions are logged on the History tab.
On mobile: Go to More → Availability. The Availability Requests tab shows pending requests. Tap an employee's name to see their full proposed availability, then tap Approve or Deny at the bottom of the screen.
📋 Approving an availability change updates the employee's availability going forward. It does not automatically change any shifts that are already on the schedule.
